NOTTINGHAM AND NOTTINGHAMSHIRE DRAMA ASSOCIATION 

Minutes of the meeting held on Monday 03rd October 2022 at 7:00pm via Zoom.
Present: Rob Hurst (Chair), Gordon Parsons (President), Linda Whitehurst, Howard Whitehurst, Mel Reynolds, Mike Smith, Kevin Fairbrother, Charlotte Hukin (Secretary), Sarah Tryner (Hon Treasurer).
Apologies for absence received from:

Neil: It is with great sadness that we have been informed of the passing of Neil Mackintosh. He was the NANDA treasurer for just under 30 years.
·       Funeral is at Bramcote Crematorium Coventry Lane, Bramcote, Nottingham NG9 3GJ on 21/10/2022 at 10:30.
·       Linda to ask what to send on behalf of NANDA.
·       Sarah has been asked to be the new treasurer. Sarah has agreed to be the interim treasurer until we can find someone to fill the role permanently.
·       Sarah has been Ravenshead Theatre Group (RTG) treasurer for 3 years.
·       Sarah has been appointed acting treasurer.

Minutes of previous meeting and matters arising: The minutes of the previous Council meeting had been circulated and these were approved unanimously.

Finance:
·       The total balance in the bank is £220.00
·       £252.00 has been lost in Neils possessions.
·       Discussion ensued regarding asking Neil’s estate to cover the misplaced petty cash or to write it off.
·       No cheques have been paid into the bank account.
·       Sarah has been working on a new NANDA bank account with HSBC.
What HSBC needs:
-        It has a 5-stage system.
-        Contact details.
-        Details of signatories.
-        What we want the account to do:
1.     1 Cheque book and 2 bank cards.
2.     All signatories need access to online account.
3.     Balance transferred from old account.

Play of the Year and dinner:
·       Currently have 4 entries.
·       Setting up a NANDA g-mail account.
·       Howard adjudicated RTG’s last production.
·       Linda signed a contract with the Crowne Plaza (CP) for the POTY dinner at £36 per person.
·       Linda asked about having music after which would cost an extra £400 and would increase the total cost per person.
·       CP requested £500 deposit for the dinner. Linda paid by cheque which bounced as fraudulent.
·       Photos need to be collected from each production for the ceremony.
Replacement of the Pat Johnson trophy for Director of the Year:
·       The trophy is still missing and believed to have been lost or stolen by removers.
·       LM’s insurers are disputing the worth of the trophy.
·       Rob H to get a few quotes to send as evidence.
·       LM still not sent back forms.

Youth festival 2023: (Notes from Mel)
·       19 Letters, together with a copy of the rules and Entry Forms, inviting Schools were posted 2nd Class on the 5th Sept this was followed up by Charlotte emailing the same to NANDA Groups on the 8th Sept.
·       On the 29 Sept I received an email from the Head of Drama at Nottingham Emmanuel School West Bridgford stating an interest. I have replied giving further details.
·       On Thursday last week I emailed those groups who have entered the two previous festivals stating that we hope they will be entering the 2023 festival. So far, I have had two rather disappointing responses. Mandy Buckley Ravenshead Youth Theatre has stated that they will not be entering as they are involved in the adult groups May production next year. The other disappointment came from ELAPS Juniors. Hayley Mason informs me that the director of the juniors has stated March is too early and they will not have time to rehearse. Why didn’t she say that when we sent out our emails in advising groups in early June that we were thinking of changing the date to March I don’t know?
·       Hayley is going to see if she can get the group to review their decision.
·       One piece of good news Robin Hood Youth Theatre have stated that they will be entering a play.
·       Advertising! Sent Rob details regarding ASKLION a Nottingham Council Website where they say that “they hope to bring you information about all the community events happening in your local area”
·       Have we any news regarding an adjudicator to be identified the sooner the better. Fees £50 per day plus mileage.
·       Does anybody have photographs of the past winners and Trophies?

·       The NANDA Notts website to have hyperlink to .org website.

Quotes for workshops:
·       Josh Hayes for Drama workshop has quoted £50 per hour.
·       John Buckley for Stage Combat workshop has quoted £250 for 4 hours.

Survey:
·       Rob H to work with Charlotte on implementing the feedback from the survey.

AOB:

·       A question was raised about who would be taking over as Lace Market Representative.
·       An email from Jaime Burgess requesting a replacement certificate. Howard to communicate with Jamie and hopefully replace.
·       An email from Ian Maber regarding offering free self-written plays to NANDA groups. Charlotte to disseminate.
