Minutes of the meeting held on Tuesday 16th May 2017 at Ruddington, Nottingham

1 APOLOGIES FOR ABSENCE

2 MINUTES AND MATTERS ARISING. - The minutes of the previous Council Meeting held on 11th April 2017 had been circulated and these were signed as a correct record.

Paper/ink for programmes = £10.99
Junior Trophies = £13
Paint etc for flats = £25
NM said that there would probably be a profit of about £200 from the Youth Festival after all the bills have been paid. This is less than previous years because of the reduced number of entries this year.

4 FESTIVALS
Play of the Year 16/17 and Awards Dinner
There have been 21 entries from 13 groups so far. Three more are to be adjudicated in the last week in May, - the last week of the competition
Certificates - New certificates, with the new NANDA logo have been designed. HW will get 36 printed, for award winners and 'special mention'.
JW announced that the adjudicator for next season's competition will be Jane Herring. She said that Jane is a member of the Lace Market Theatre, who has many years' experience in all aspects of theatre. As has been the case in the past, if the Lace Market were to enter a play, it would be adjudicated by another person.
Dinner - LW said that the invitations had gone out. She had not had many acceptances as yet but it was over a week to the deadline.
It was noted that representatives from the Leicestershire groups needed to be contacted. .
Youth Festival 16/17
JW reported that the Festival had run smoothly. There had been three entries - from ELAPS, Ravenshead and Youth Peoples' Theatre. All had been of an exceptionally high standard, which had made the adjudicator's (Mark Lebeter) job very difficult. JW thanked all those from the Council who had helped both on the day and before. ELAPS had won and Youth People's Theatre were runners up, but the various awards had been distributed between all three groups.
There was a discussion about the need for ongoing review of procedures. It was acknowledged that there should be no direct contact between any participants and the adjudicator.

5 THE GURD AWARD
An updated and simplified version of the Gurd Award notes was presented and approved by the Council.
It was unanimously agreed to award £100 and a framed copy of the citation to any successful nominee.
The Council considered and approved a nomination. There was a discussion on the details of presenting this award to the individual.

6 NEW ACTIVITIES
JW had sent out an email to all groups detailing the two events planned. Details of these still need to be finalised and will be discussed at the next meeting when more information is available.
It was agreed that an invitation to one of the events should be extended to a Civic leader.

7 THEATRE LUNCHEON
LW said that she would write a letter to Shaun Williamson (East Enders, Extras) who is appearing at the Theatre Royal in July, inviting him to attend a luncheon.

8 MEDIA
MS to put revised Gurd Award and details of the70th Anniversary events on the website.
HW to put a downloadable version of the new logo on the website. CD to inform groups of this so they can use it.

9 CORRESPONDENCE /AMENDMENTS TO MEMBERSHIP
JW had sent a letter of condolence to Jose King's family and read out the reply she had received from her daughter.
