Minutes of the Meeting of the Executive Council held on Tuesday 22 April at East Leake

1 APOLOGIES FOR ABSENCE were received from Roy Ainscough, Christine Davison, Neil Mackintosh.
2 MINUTES AND MATTERS ARISING - The minutes of the previous Council Meeting held on 11 March 2014 had been circulated and were signed as a correct record.

Chilwell School had been very late in submitting their invoice for venue hire, and it was agreed that pressure should be applied on them to submit this year's Youth Festival invoice before the end of August.
4 FESTIVALS
(a) Play of the Year 2011/12 and Dinner - a record number of 20 entries from 10 groups - Magpie Drama, Bonington Players, Burton Joyce Players, West Bridgford Dramatic Society, Orchard Theatre Company, People's Theatre Company, Prospect Players, Lace Market Youth Theatre, Ravenshead Theatre Group, Theatre Imp. With a number of groups entering two or three plays each, the question arose as to whether this was placing a strain on the adjudicators, and also whether it was fair on groups which entered just one play. It was agreed that a rule change should be applied and confirmed at the June meeting prior to the next season's competition.
Dinner - Menu chosen, price remaining the same as last year. The list would be going out in mid-May and contain the message that "there may need to be some restriction on numbers".
(b) One-Act Festival - Bob Wildgust reported an entertaining day at the Bonington Theatre with "great facilities and staff support" and good entries, with West Bridgford going through to the Leicester Final. However, the number of entries, together with a very small audience, was disappointing. Next year NANDA will be hosting the quarter-final, of the AETF on 25 April at the Bonington Theatre. Our own One Act Festival which is a preliminary round for the AETF will be held on 13th /14th March at which we would like a good number of entries. Barbara Fisher stated that the Lace Market was planning to enter three plays. It was agreed that Neil Mackintosh should be asked to set up a new category in the accounts to cover the various expenses involved in running the quarter finals and the AETF.
(c) Youth Festival - Just two group entries: Lace Market (three plays) and Keyworth (two plays). The Dean Holt School at Newark had indicated that they were very keen to enter, but that "things had got in the way" this year. It was agreed that ongoing liaison with schools was very important.
5 THEATRE LUNCHEON - A number of leads are being followed.
7 NEWSLETTER/WEBSITE - There are still some groups which are not uploading details of their activities.

9 AOB - Robin Hood Theatre enjoyed a successful first production in their new theatre.
