Minutes of the Meeting of the Executive Council held on Tuesday 17th September 2013 at East Leake

1 APOLOGIES FOR ABSENCE were received from Bob Wildgust, Tony Vokes, Linda and Howard Whitehurst

2 MINUTES AND MATTERS ARISING. - The minutes of the previous Council Meeting held on Tuesday 16th July 2013 had been circulated and these were signed as a correct record.
Matters arising
Tony Vokes confirmed that WBDS would be able to host the NANDA AGM in January.
No-one on the Council was able to attend the AETF meeting on 22nd September.
Joan Wildgust read out a letter from Jack Barrett in which he stated that he was resigning from the Council as the representative of the Lace Market Theatre and also from his role as Luncheon organiser due to ill health. He sent his good wishes to the Council and to NANDA. Council members expressed their regret but understood the circumstances.

TOTAL INCOME = £ 6197.99
TOTAL EXPENDITURE = £ 4865.35
PROFIT = £ 1332.64
The Council agreed to let the full accounts go forward to the auditor. These will then be circulated to members before the AGM.
It was agreed that in future the Gurd Award be shown as a separate account, with interest added and deductions made. Eventually this will be run down to zero, unless the situation is reviewed at a later date.
The Chairman thanked the Treasurer for his hard work and efficient presentation of the accounts.

4 FESTIVALS
a) Play of the Year 13/14 and Dinner
Two plays have been entered so far. The new group, Magpie Drama have entered Dumb Show on 19 - 21 September at the Duchess Theatre. They intend to enter two more.
Bonington have entered Gaslight on 16 - 19 October at the Bonington Theatre (This will be the first show in after the refurbishment).
The Chairman confirmed that if the People's Theatre Company wish to enter a play Bob Wildgust will adjudicate instead of Colin Treliving (who is Chair of PTC).
Mel Reynolds expressed his regret that last year's adjudicator, who had not been able to adjudicate their play, had not been able to see it in rehearsal.
b) One Act Festival -
Bob Wildgust hoped to get out information about the festival to all groups by the end of the week
There had been a request from East Bridgford for another director's course. There is a possibility one might be held at the end of February, although nothing is definite yet.
c)Youth Festival
This will take place at Chilwell Olympia on 16 - 17 May. Sonya Oates and Jean Lebeter to book the venue and SO to confirm this booking to the Chairman so that information can be sent out to groups.

5 THEATRE LUNCHEON
Following Jack Barrett's resignation, the Chairman volunteered to take on this responsibility in the short term. She will aim to find a speaker for early next year.

6 NEWSLETTER/WEBSITE
Howard Whitehurst reported that 14 groups had bought in enthusiastically to the project and some have already started posting. Two groups had yet to inform him of their FB manager - Kegworth and Orchard.
Howard aims to contact individually the five groups yet to engage with FB.
The number of likes had gone up this week from 80 to over 120.
The Chairman suggested a meeting/workshop for members to learn more about Facebook. She suggested a Saturday morning session, free of charge. She will consult with HW about this.

7 CORRESPONDENCE /AMENDMENTS TO MEMBERSHIP
Orchard:- The Chair Tyna Burnett has resigned. There is no replacement as yet.
New individual member Bob Massey
Resignations:- Big Box, Colwick Theatre Club
Eight groups have yet to renew - JW, NM, MR to chase these up.
