Minutes of the Meeting of the Executive Council held on Tuesday 19th April 2011 at Nuthall.

Present: Joan Wildgust (Chairman), Christine Davison (Secretary), Mike Stewart, Mel Reynolds, Linda Whitehurst, Bob Wildgust, Madeline Lord, Jack Barrett, Tony Vokes, Neil Mackintosh (Treasurer), Sonya Oates, Howard Whitehurst.

1 Apologies for absence were received from Roy Ainscough,

2 Minutes and matters arising. - The minutes of the previous Council Meeting held on Tuesday 8th March had been circulated and these were signed as a correct record.
There were no matters arising.

4 FESTIVALS
a) Play of the Year 10/11 and Dinner
Joan reported that there had been a record 17 entries from ten groups. Four adjudications are still outstanding and will continue until the end of May.
Dinner - Linda Whitehurst has been in discussion with the organiser at the Welbeck Hotel; the dinner will consist of three course plus coffee for £23 per head. Linda will email an invitation to all groups. Chris will send letters of invitation to all those without email and will be responsible for printing the programme.
b) One Act Festival
Bob Wildgust said that in spite of the small number of entries(three) the festival had been a success and had provided the momentum for the festival to continue, and hopefully attract more groups next year. He said the adjudicator, Max Bromley, had been very good and also extended his thanks to those offering technical support namely Neil Mackintosh, Mike Stewart and Peter Davison. He also thanked Joan, Madeline and Chris for their help with refreshments. Some lessons had been learnt: the clash of dates with the Leicestershire one act festival meant that there were fewer entries. There was criticism, also, of the venue; basically we were hiring a blank space not a theatre. About 4 - 6 hours work was needed to get the venue ready, including painting the flats black. There had been a lack of communication between various staff at the venue. There was a suggestion that the festival could be moved to the Duchess Theatre next year.
The winners, Calverton Theatre Group with 'Shrine' will go on to the next round at Burton on Trent on 7th May. Joan concluded by saying that the festival had been a good experience for the youth groups and congratulated all those involved, with special thanks to Bob for all his hard work.
c) Youth Festival
Sonya Oates that plans for this were well advanced; there were seven entries: Lacemarket (2), ELAPS (2), Spotlight Theatre School (1), ravenshead (1), Dean Hole School (1). The festival would take place on Saturday 7th May , with four plays in the afternoon and three in the evening. She envisaged about 200 per session in the audience. Tickets would be £5 (1 session) and £7 (2 sessions) for adults; £3 and £5 for children and £2 for competitors. Mike and Neil would once again offer technical support and Sonya is stage manager. The programmes were underway and the trophies ready. Jean Lebeter will act as compere. Sonya outlined the arrangements for Friday and Saturday. The next meeting for those involved would be 6.30 on Friday 6th May.
d) Playwriting competition
Joan reported on her meeting with Roy Ainscough and Maggie Andrew. Maggie had volunteered to take this on and try for a grant. Given the time it would take to apply for a grant and get an answer, it was decided to aim for July 2013 for the final of the competition, with initial preparation starting February 2012 and publicity for the event starting April 2012.

5 Theatre Luncheon
Jack Barrett reported that there did not seem anyone suitable in the Theatre Royal's autumn programme to give a talk. He will contact the Playhouse and see if he can secure a speaker or speakers for October.

6 Newsletter/Website
Newsletter - The next newsletter is to go out late April.

7 Correspondence/Amendments to membership - None

8 AOB .Linda and Howard said that there was nothing significant to report on Bonington Theatre until after the elections. The Theatre Trust had reported to Gedling and had been critical of the alternatives but had praised the facilities offered by Bonington Theatre
