Minutes of the Meeting of the Executive Council held on Tuesday 14th October 2008 at Aspley
Present: Joan Wildgust (Chairman), Christine Davison (Secretary), Neil Mackintosh (Treasurer), Madeline Lord, Jon Jones, Roy Ainscough, Sonya Oates, Alan Spooner, Tony Vokes, Mel Reynolds
1 Apologies for absence were received from Mike Stewart, Jack Barrett, Linda Whitehurst, Christine Chapman, Hayley Masom.
2 Minutes and matters arising The minutes of the previous Council Meeting held on Tuesday 9th September 2008 had been circulated and these were signed as a correct record.
There were no matters arising.
3 Hon Treasurer's report - As at 14/10/08

To date nine groups had still not rejoined NANDA.
The Gurd award is to be re-marketed.
The Annual Report was circulated to the Council - all agreed that it be adopted to go forward to the AGM.
4 Discussion Item - Workshops
Following a lengthy discussion it was decided to hold, initially two workshops in the coming months:
The first - a taster session - will be held at West Bridgford Theatre on the evening of either 13th or 20th January 2009. This will be on voice and accents and will last approximately 2 hours.
Sonya is to ask Julia Gaunt if she would be willing to lead a voice workshop. Hayley indicated that Richard Hesk would be willing to help with accents.
It was suggested that an alternative workshop leader might be needed if Julia Gaunt was unavailable, possibly someone from The Society for Speech and Drama (Geoff Redman).
Tony Vokes asked to be informed when the date and other details are finalised so that arrangements can be made with the West Bridgford Theatre.
The second workshop will be an all day event on Sunday 8th March 2009 at the Lacemarket Theatre.
Following a suggestion from Alan Tipton, it was decided that the workshop would cover 2 topics. The delegates would be split into 2 groups and each workshop would consist of 2 one hour sessions. The groups would swap over in the afternoon and cover the other topic. After further discussion, it was decided that this first one day workshop would cover makeup and costume.
Madeline Lord agreed to lead the costume workshop, and she will contact Jean Alton to ask if she can assist. Jon Jones will ask Alan Tipton if he is willing to lead the makeup workshop.
Sonya agreed to write a letter and application form to be sent out to those expressing an interest.
Future workshop suggestions were:- lighting/ sound and accents/characterisation.
The date needs to be confirmed with the Lacemarket Theatre.
5 Festivals
Play of the Year 08/09 and Dinner
The adjudicator for the Play of the Year 08/09 will be Caroline Drury - a GODA official adjudicator. Her fees are £60 per adjudication plus expenses; a written adjudication is a further £20. NANDA will charge £60 per adjudication and the festival will thus run at a loss. However there has been an encouraging number of entries; seven so far.
Dinner:- Various members have made enquiries about a venue for the 2010 dinner.
Prices quoted so far for a 3 course meal:- Eastwood Hall - £28.50;The Belfry £28.50 - £30 plus £600 for room hire; Blotts £2,000 for room hire and a similar price for the meal. Linda and Christine had a quote from Springwater Restaurant of £14.95 plus £180 room hire. Joan will ask Linda and Christine to investigate further Springwater Restaurant and Woodborough Hall.
One Act Festival
Bob Wildgust is assembling information for discussion at a meeting to be arranged at December's meeting.
Youth Festival
Re the possible sponsorship from East Midlands Airport - Hayley has a meeting with EMA on 29th October to discuss a possible £2,000 maximum grant. If a decision is made by November, then decisions can be made on the size of the competition and the venue. Sonya will ask Sarah Kelly to attend the December meeting.
6 Theatre Luncheon
Jack has had no positive response from any of the agents contacted so far, so will have to abandon plans for organising a luncheon this year. He will try again early next year for - hopefully - some more considerate and obliging actors. Joan suggested contacting Alan Sillitoe, who recently attended the City Council reception for the Arts Theatre's 60th anniversary. Jon Jones is writing to Alan Bennett on another matter and will make a tentative enquiry.
7 Newsletter/Website
Dates to be noted:-
Articles to be submitted by 12th November, last proof by 3rd December, printing by 10th Dec, newsletters distributed by 18th December.
Articles wanted:- Workshops (Jon Jones);Youth Festival details (Hayley); Article on a play (Douglas MacDonald); Profile on Hayley (Sonya and Madeline); Play of the Year update (Joan).
Joan expressed her thanks to Hayley for her hard work and congratulated her on the last newsletter.
Website - Joan said that she had sent information about the Play of the Year entries to be put on the website.
Jon Jones had received 19 replies to the questionnaires about the website. He welcomed these but asked that members encourage their groups to respond. Comments so far had suggested more regular updates, more photos, a swapshop. Any other ideas, suggestions would be welcome.

9 AOB
As several members will be absent from the next meeting, it was decided to cancel it. The topic for discussion at December's meeting will be the Youth Festival and Website. The topic for February will be the One Act Festival. The topic for March is Open Forum and Fundraising.
The dates for meetings in 2009 up to July are as follows:- Feb 17th, Mar17th, April 7th, May 12th, June 16th, July 14th. All meetings are on a Tuesday at 7.00pm
