AGM Minites 2014-2015

Minutes of the Annual General Meeting held on Sunday 1st February 2015 at the West Bridgford Dramatic Society's Studio, Stamford Road, West Bridgford, Nottingham.

PRESENT:-- Joan Wildgust (Chairman), Christine Davison (Secretary), Neil Mackintosh (Treasurer), Roy Ainscough (President), Tony Vokes(WBDS), Mike Stewart (Vice President),Madeline Lord, Sonja Oates (ELAPS),Bob Wildgust (Vice President), Linda and Howard Whitehurst (Bonington Players), Rob Dixon(WBDS), Barbara Fisher (Lace Market Theatre)

2 MINUTES The minutes of the AGM held on 26th January 2014 had been circulated and were signed as a true record.
There were no matters arising

3 CHAIRMAN'S REPORT 2015
The Chairman presented her report to the meeting. A copy is attached.

4 HON TREASURER'S REPORT
The treasurer presented his report for the financial year 1st September 2013 to 31 August 2014.
There followed a discussion of these figures and the reasons for losses in some areas of the accounts.
There is a new category relating to the AETF, which represents a loss.
Some anomalies were explained by the fact that the venue charge from Chilwell Olympia arrived too late to be included in the previous year's figures.
The treasurer explained that our charges have not reflected a rise in cost e.g. insurance, increased cost of meals at the Play of the Year Dinner.
The income from the Youth Festival has dropped significantly over the previous two years even though the expenditure has remained the same.
The Chairman said that it was negative to look at these figures solely in terms of profit and loss. Keeping charges to a minimum and subsidising some events benefits our members. Our duty is to help our members, the real concern would be if groups stopped attending events or entering competitions.
The conclusion was that the small loss over the year was nothing to worry about; the finances are in a healthy state.
The accounts were unanimously accepted.
The Chairman thanked the Treasurer for his hard work in compiling the accounts.

5 APPOINTMENT OF HONORARY OFFICERS
There being no new names submitted, the existing officers were re-elected unanimously:-
Hon Secretary - Christine Davison
Hon Treasurer - Neil Mackintosh
Hon Auditor - Jean Anthony

6 TO APPOINT MEMBERS OF THE EXECUTIVE COUNCIL FOR 2014
(present member list and nomination form previously circulated)
All existing Council members expressed their wish to continue and were re-elected.
The Chairman welcomed Barbara Fisher from the Lace Market Theatre to the Executive Council and thanked her for her valuable contribution.
It was unanimously agreed to adopt the current Council members for the forthcoming year.

7ANY OTHER BUSINESS
One Act Play Festival
Bob Wildgust announced with regret that he had had to cancel this year's One Act Festival, having received only two nominations, one from Tamworth and one from WBDS. Unfortunately groups had found it difficult to commit to the two dates - one for NANDA's in March and the other in April for the AETF quarter final. Another problem had been that the date of the NANDA festival was on the same dates as the Leicestershire festival, thus losing NANDA some three to four more entries.
At this stage, there was a possibility that WBDS could proceed to the quarter final stage of the competition, which this year is being hosted by NANDA at the Bonington theatre on 25th April, when five entries are expected.
Tony Vokes expressed his thanks to Bob for all his hard work in organising the Festival and in the time spent contacting various organisations to get support.

SHUG (Stanford Hall Users'Group)
SHUG applied to Rushcliffe Borough Council to have the theatre at Stanford Hall recognised as a community asset, sadly without success. According to the plans, it would appear that the alterations would preclude any theatre licence being granted.

Robin Hood Theatre
On a happier note, the Robin Hood Theatre has now been refurbished and is putting on shows. The planned refurbishment is continuing as funds allow.

The Chairman thanked the officers of the council for their hard work and thanked West Bridgford Dramatic Society for their hospitality and warm welcome.
